iLobby Delivers™ can be used to simplify the process of tracking the incoming parcels in your facility.
Scanning Shipping Labels
Once a package arrives, the receptionist takes a photo of the shipping label on it using the mobile iLobby Companion app.
You can download the iLobby Companion app
on the App Store and Google Play for free.
Login with your credentials, and tap on Scan Parcels will launch the camera of your phone to take a photo of the shipping label on the package.
After the picture is submitted on the app, iLobby receives it, reads the label, and checks for the recipient's name in the iLobby Address Book.
Tracking Deliveries
The Deliveries page shows the following information about each parcel:
1 Use the search bar to find a parcel by the recipient’s name or the tracking number.
2 Click on More, then on Export to CSV to get a CSV file with the list of all parcels.
3 Under Carrier, you can see the logo and the names of delivery companies.
4 Under Received, there is a date when the delivery was received and the shipping label of it scanned by the receptionist.
5 Under Recipient, you can see the names of people for whom the parcel was delivered. When scanning the parcel with iLobby Delivers™, it reads the label and automatically matches it to a host record in your iLobby address book and sends the iLobby Delivers notification.
If you see some delay with notifications, please note that the system checks if there are new parcels every half an hour. If there were packages during the recent 30 minutes, a notification will be sent to a recipient.
6 Under Tracking #, tracking numbers of parcels are displayed.
7 Under Pick up, you can see the date when the delivery was picked up by the recipient. While the parcel is not picked, you will see the image of the calendar here. The system sets the date here when the recipient confirms the pickup from the delivery notification email. Alternatively, you can set the date manually from the portal by clicking on which allows you to select the date of when the delivery was picked up.
8 Picked up by shows the name of a person who picked the parcel up.
9 In the Notes column, you can view notes left for the parcel.
You can perform a variety of functions for the records of parcels which are not picked up. Click
and do one of the following:
- Show Image. Clicking on that will display the photo of the shipping label scanned by a receptionist.
- Mark as Picked up allows you to set up the date of when the package was picked up.
- Set Recipient allows you to set / edit a recipient for the package in case a recipient was identified incorrectly by iLobby Delivers™.
- Leave a note to a parcel. Notes will be displayed in the Notes column.
- Delete. Hitting this option will delete the record of a package from the Deliveries page.
10 Expecting Pickup Only if checked, only deliveries that are expecting pick up will be displayed.
To see already picked up deliveries, uncheck Expecting Pickup Only and refresh the page by clicking on
11 For already picked up deliveries, you can do the following:
- Show Image. Clicking on that will display the photo of the shipping label scanned by a receptionist.
- Show Signature. Selecting this option will open a picture of the signature left by the person who picked the parcel.
- Leave a note to a parcel. Notes will be displayed in the Notes column.
- Delete. Hitting this option will delete the record of a package from the Deliveries page.
Assigning Recipients
If the recipient was not identified by iLobby Delivers™ after the shipping label on the parcel had been scanned, the system won’t send the iLobby Delivers notification.
In the event that this scenario happens:
You will see a new delivery expecting a pick-up in the portal.
Press and you will be able to set the recipient for this delivery by selecting the appropriate host from the drop down menu.
Note: A recipient must be a part of the iLobby Address Book.
After the recipient is set, they will be notified of the delivery.
iLobby Delivers notification email includes date when it was received, carrier, and the tracking number.

4. The recipient confirms pickup. To confirm the pickup, the recipient clicks on I already picked them up in the email notification. After that, this delivery will disappear from the Expecting pick-up only list, and will be displayed among picked up deliveries.
Picking up Parcels with iLobby Companion app
During the pickup process, if the recipient incorrectly scans the shipping label, a new record is created rather than attaching the signature to the original record. The Merge Records feature allows users to combine the first record which was created when receiving the parcel with the second record which was created when the recipient signed for the parcel.
To merge records:
1. Select two records. After doing so, a button appears beside the search bar with the option to Merge Records.
2. A window appears to merge the records. Dates and names to use for the updated record can be selected from the dropdown menus in the Merging Result section.3. Click on Merge. The records will be replaced by the record shown in the Merging Result section. The signature and shipping labels from the most recent record will be kept.
