Working with Assisted Sign-in

If you are having a large group of visitors, use Assisted Sign-in to speed up the sign-in process. This functionality allows users to perform either a full sign-in for visitors in the iLobby portal, or a partial sign-in by transferring the session to the kiosk if a photo capture, signing documents, etc. is required to finish the process.

Requirements

- access to the portal.goilobby.com
- permission visitor Sign in/Sign out granted to the user role
- iLobby app version 22.3.1 and newer

Assisted sign in steps:

Step 1: Sign in a visitor in the iLobby portal (portal.goilobby.com).

Using Assisted Sign-in for Walk-ins / New Visitors

1. To start the sign-in process for a new visitor, please on the Dashboard click on the green Register button, and then select Sign In a Visitor from the drop-down.



2. This will open the following form. Fill it in.



Using Assisted sign-in for pre-registered visitors 

To sign in a guest scheduled for an event, find this visitor under Expected today, and then click on . Select Assisted Sign in from the drop-down.



The registration form will pop up pre-filled with the information of the guest entered during preregistration, which can be edited on this form.


Step 2: Transfer the sign-in completion to the kiosk

Both forms for new visitors and for pre-registered visitors will have two new options allowing users to choose how to complete the sign-in depending on the sign-in flow is configured in their environment:

  1. To Complete Sign In

Select between two checkboxes:

- Finish and Print badge will complete the sign-in in the portal and print a badge for a visitor. 
- Transfer to Kiosk is a recommended option to select if it is required for a visitor to complete the sign in on the kiosk in order to take a picture, view documents, do an ID scan, etc.
  1. Available Devices

Select one of the Available Devices to complete the sign-in. 

1. If you have one device attached to your site, it will be selected automatically.
2. If there are multiple devices, there will be a drop-down of the available devices. 
3. If the iLobby app on the available is not compatible with the Assisted Sign in feature, it will say “Please update device to new version”.


If you see this message, please contact support@ilobby.com to get assistance on updating the iLobby app. 

Please make sure that all devices are online. Otherwise, it will show no devices:

Once all the options are selected, click on the green Sign In button.


Step 3: Complete the Sign-in.

Kiosk will trigger and configured Sign in Flow will begin for the visitor at the kiosk.




If the kiosk is being used by a visitor at the moment when a receptionist completes assisted sign-in for a different visitor on the dashboard and Transfer to kiosk option was selected, this sign-in will be displayed under the Pending Sign-ins tab next to the Signed in Visitors tab.


Once the kiosk is available, click on the Actions button . The window with available devices will pop up.


If you have one device at site, it will be selected automatically. If more than one device is attached to your site, select the device and click on Resend.
Once the sign-in is completed, the visitor record will be listed among signed in visitors with an icon for new visitors and for pre-registered visitors.
