If you’d like employees to be able to book a certain desk at the space, you can add desks to spaces in the Workforce portal. There are two ways to add desks to spaces:
Using a three-dot icon under Spaces
1. Click on the three-dot icon to the right of the space name
and select
Add a desk.
2. In the following window, enter the name of the desk and a description if required. Save changes.
Desk capacity is always 1. If a desk is booked for a certain time, it won’t be displayed among selections for other users for this time.
3. Desks will appear underneath the space they are added to.
4. You can delete desks by clicking on the three-dot
icon to the right and select
Delete.
Configuring the Desk Map
You can configure the desk map the way that it is visible for employees which desks are occupied, booked, or available.
1) Click on any of the spaces to open the space details page.
2) Under
Desk Map, you can add a desk map for employees to orient better in the space while booking a visit. You can either drag files from your computer and drop them here, or click on
Browse and select the file from your computer.
3) To add desks, click on
Configure desk map.
4) Click on
Add new desk. On the following page, enter the name of the desk and a description if required. Click on
Add new desk in blue.
5) The list of added desks will appear below:
6) Click on
Place on Map to add the desk on the map.
7) The circle will appear on the map. You can make it bigger or smaller. You can drag and drop it to any place on the map. Once done, click on
Apply.
The
Place on Map button will change to the
Change position button by clicking on which you will be able to move the circle at a different place on the map.
8) To edit the desk (change name and description), click on the
pencil icon next to its name.
9) To delete the desk, click on “x” to the right.
Booking a Visit Using the Desk Map
When users book a visit, they will select the space. Then, they will be prompted to book a desk from the selection drop-down under this space.
Employees can also pick an available desk on the map by clicking on
Pick on map.
1. On the map, they will see which desk is available in green, booked by a user him/herself in yellow, or selected by a user him/herself for further booking in blue, not available (booked by other users) in gray.
2. When you hover over the occupied desk, you will see the name of an employee who booked it.
3. When you select a desk, click on Apply, and submit the booking.
